Full Time Executive/Personal Assistant & Project Coordinator
Mattson Creative is a boutique creative agency whose work primarily focuses on the entertainment industry. Located in San Juan Capistrano, we are seeking a coordinator/assistant to help with the daily tasks of running the office. A small portion of the job will also be focused on helping with project coordination. This candidate will report directly to the company owner/CEO and will also serve as an executive/personal assistant. Looking for someone who is highly organized and detail oriented, with a positive demeanor.
Responsibilities:
Business: 60%
- Creation of Project Numbers/Folder Set Up
- Asset Management
- Project Invoicing
- Management of Client Contacts List
- Management of Logins List
- Social Media Management as Needed
- Project Estimating
- Scheduling of Meetings & Reservations
- Set up any vendor requirements for new clients, or current clients needing contract renewals
- Provision of required documentation to clients (NDA’s, W9, Insurance, etc)
- Coordinating of all Team Travel
Office: 40%
- Pay all Business Bills
- Shopify Order Fulfillment
- Bank/Post Office Runs
- Package Receiving
- Coordination of Office Utilities
- Coordination of Office Repairs
- Coordination of Christmas Party & Team Off-sites or Events
- Personal Assisting Tasks
- Perform Various Other Clerical Tasks as Needed
Requirements:
- Effective interpersonal & Communication Skills
- Organized & Detail Oriented
- 3+ years working in office admin or hospitality management preferred
- Computer Literate & Proficient in Microsoft Suite (Adobe Suite also a +)
- Bachelor Degree Preferred
Pay Rate:
- Based on experience
Driving Requirements (mileage expense):
- Driving for office errands will constitute a portion of this position.
